4: Sending shipments

To send a shipment, please follow these steps:

In the Seller Portal, in the FBK Deliveries menu option, open the detail page of the shipment you want to send whose status is “Delivery note missing”.

You must print out the corresponding delivery note and provide the shipment information before you can send the shipment. Click on the Delivery note & shipping information button at the top right of the Details page of the shipment.

To create a delivery note, select the correct shipment size in the selection options. Then refine your selection using the relevant input field.

Once you have finished entering the information, click on the Save & go to print preview” button.

If you have chosen your shipment size as loose packages, we will create an FBK barcode label for the number of packages you have entered.

At that point, you can download and print your FBK barcode label and delivery note.



So, for example, if your loose package shipment contains 12 packages, the system will create 12 barcode labels for you, labelled 1/12, 2/12, 3/12 and so on. Make sure to include a copy of the printed delivery note and a clear barcode label in every loose package of your shipment. This is required for classification in our warehouse. We also recommend that you document each numbered label (1/12, 2/12, 3/12, ...) in a way that lets you assign your tracking numbers (if available) to the individual packages afterwards (for example: tracking number XXXX belongs to package 1/12, and so on).

The general range of processing times once our warehouse receives them is:

  • up to 48 hours for pallets or non-palletised general cargo
  • up to 7 days for packages or shipments which do not fully conform to the FBK delivery requirements

If you have created a shipment that includes pallets, each shipment must include a delivery note. The delivery note must be clearly visible and attached to the first pallet (Pallet 1/...) of the shipment. You must also make an appointment with our FBK warehouse via the DC Time Slot Management Transport Planner (see Shipment conditions > Notification). You will automatically receive an e-mail with all the information you need to plan the appointment. Please forward this e-mail and the delivery note to your carrier.

As soon as the shipment, including all necessary documents, has been packed and dispatched, mark the shipment as Sent. To do this, click on the detail page of the shipment and from there, click the Mark as sent button. You can also enter the carrier and the tracking numbers of your packages or pallets. This helps us to better plan outstanding deliveries to the warehouse.

The shipment now has the status In transit.

Shipping completed

As soon as the shipment has been checked and processed in our warehouse, it is given the status Closed. On the Shipment Details page, you can now see whether any anomalies were found while the items were being checked. If there are complications, our Support Team will contact you.

Partial delivery

A shipment has the status Partially closed if only a part of the shipment has been processed and stored in the warehouse.

This is the case if:

  • the shipment has not been delivered in its entirety and the rest will be delivered at a later date
  • some products require additional services, such as extra labelling
  • the shipment could not be fully processed

Once the shipment has been fully processed, the status changes to Closed.

EAN barcode label generation


Under the “FBK Shipments” menu item in the Seller Portal’s “Shipment Details” page, you will find the “Create EAN labels” function. It is located behind the three-dot menu in the top right corner. When you start the action, all the related EANs of your shipment are already pre-selected; you can also delete or add them back under the section.

After selecting the EANs, you can specify the type of printer and type of label format you want to use for printing out your EAN label. You can choose from the following options:

  1. Laser printer (24 labels in A4 – 70.0 x 34.6mm) / (21 labels in A4 – 70.0 x 39.5 mm)
  2. Thermal printer (50.8 mm x 25.4 mm) / (70 mm x 30 mm) / (75 mm x 50 mm)

After choosing your printer and your label size, click the Generate EAN labels button to download the correct EAN label document.

Please note: We recommend that all sellers use EANs that are assigned by GS1. If EANs are not assigned by GS1, they must at least comply with GS1 standards. If your shipment’s labels are found not to have GS1-conforming labels when being processed in the FBK warehouse, it may result in extra costs as the FBK team will have to relabel them.
